Outlook mailbox cleanup: review senders before you archive
A crowded Outlook inbox is easier to review by sender than one message at a time. InboxPurity groups mail into decisions such as archiving older newsletters from one sender. A mailbox with 40,000 messages may contain only a few hundred high-volume senders; your results depend on your mailbox.
Start with a small cleanup
- Use a personal Outlook mailbox first. Microsoft 365 organizations may require administrator approval.
- Scan your mailbox and review the sender groups. AI classification is optional and requires consent.
- Protect important senders and review subjects, dates and counts before selecting groups.
- Approve only the moves you want, then inspect the cleanup history.
Know what archiving does
Archiving moves messages out of your inbox. It does not free mailbox storage. InboxPurity records completed moves so you can request recovery within 30 days. Review the protection settings rather than assuming every important message can be recognized automatically.
